2. Definition of personal data
Personal data is any information that can be used to identify and assign to a specific individual. This includes information such as name, telephone number, and email address. According to the GDPR and a ruling by the Federal Court of Justice, the IP address of the accessing computer is also considered personal information. The personal data of users processed as part of our online offering includes inventory data (e.g. names and addresses of customers), contract data (e.g. accreditations, payment information), usage data (e.g. websites visited, interest in our programme), and content data (e.g. entries in the contact form). The term “users” refers to all individuals affected by data processing. This includes our customers, business partners, interested parties, and other visitors to our websites.
3. Which personal data is being processed?
a. Contact option via the website
Due to legal requirements, the EFW e.V. website contains information that enables quick electronic contact with our association and direct communication with us, which also includes a general address for electronic mail (email address). If a user contacts the association via email or a contact form, any personal data they transmit will be stored automatically. Such personal data, voluntarily provided to the association by users, is stored for the purposes of processing or contacting the data subject. This personal data is not passed on to third parties. When you contact the association by email, the data you provide (email address, name, if applicable) is stored in order to answer your questions. The data collected in this context will be deleted as soon as storage is no longer necessary.
b. Visiting the website
Each time the EFW e.V. website is accessed by users or an automated system, the website collects a range of general data and information. This data is stored in the server’s log files.
The following data may be collected:
- browser types and versions used
- the operating system used by the accessing system
- the website that the accessing system used to reach our website (known as the referrer)
- the sub-websites accessed via the accessing system on our website
- date and time of access
- IP address
- the Internet service provider of the accessing system, and
- other similar data and information that serves to avert danger in the event of attacks on our information technology systems
EFW e.V. does not draw any conclusions about the data subject when using this general data and information.
Rather, this information is required to
- deliver the content of our website correctly
- optimise the content of our website
- ensure the long-term functionality of our information technology systems and website technology
- provide law enforcement authorities with the information necessary for criminal prosecution in the event of a cyber attack
This anonymously collected data and information is evaluated by EFW e.V. for statistical purposes, with the aim of improving data protection and security.
This ultimately ensures an optimal level of protection for the personal data we process. The anonymous data in the server log files is stored separately from any personal data provided by an individual.
c. Registration on our website
Users have the option of registering on the website by providing personal data. The personal data transmitted to the association is determined by the input mask used during registration. This data is collected and stored by the association exclusively for its own internal use. The association may arrange for the data to be passed on to one or more processors, such as a parcel service provider. These processors will also use the personal data exclusively for internal purposes attributable to the association. When registering on the association’s website, the IP address assigned to the data subject by their Internet Service Provider (ISP) is also stored, along with the date and time of registration.
d. Newsletter subscription
The EFW e.V. website allows users to subscribe to the EMAF newsletter. The personal data transmitted to the association when ordering the newsletter is determined by the input mask used for this purpose. To receive the newsletter, the data subject must have a valid email address and register. For legal reasons, a confirmation email is sent to the email address provided by the data subject for the first time to subscribe to the newsletter, using the double opt-in procedure. This confirmation email is used to verify that the owner of the email address has authorised the receipt of the newsletter.
4. Cookies
The EFW e.V. website uses cookies. These are text files which are stored on a computer system via an internet browser and contain information about the device.
EFW e.V. uses cookies to provide users of this website with more user-friendly services. These services would not be possible without cookies.
Cookies enable us to recognise users of our website. This recognition makes it easier for users to navigate the website. Data subjects can prevent our website from setting cookies at any time by adjusting the relevant settings in their internet browser, thereby permanently objecting to the use of cookies.
5. Newsletter tracking
The EFW e.V. newsletters contain tracking pixels. These are miniature graphics embedded in HTML emails to enable log file recording and analysis. This allows the success or failure of online marketing campaigns to be statistically evaluated. The tracking pixel also enables EFW e.V. to recognise when and if an email has been opened by a data subject, as well as which links in the email have been accessed.
6. Storage and deletion of personal data
The association processes and stores the data subject’s personal data only for as long as necessary to achieve the storage purpose, or as provided for by the European legislator or another legislator in laws or regulations to which the association is subject. Once the storage purpose has expired or the prescribed storage period under European directives and regulations or other competent legislators has expired, the personal data is routinely deleted in accordance with statutory provisions, or blocked if this is not possible for technical reasons (e.g., in databases), so that it cannot be used.
7. Rights of the data subject
The data subject has the right to request, free of charge, information about the personal data stored by us and how it is used, and/or to request correction, blocking, or deletion of this data. The data subject has the right to request the correction of incorrect data or the deletion of personal data, provided that there is no legal obligation to retain such data. Once consent to the storage of personal data has been revoked, the association will delete this data immediately unless it is required due to legal regulations or for the fulfilment of a contract.
8. Privacy policy regarding the use of Facebook
EFW e.V. uses the technical platform provided by Facebook (Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland) to host its own Facebook pages.
It is currently legally unclear whether and to what extent Facebook offers its services in accordance with European data protection regulations. As soon as new, legally secure aspects arise regarding the operation of our Facebook pages (EMAF and Lichte Momente), we will address them immediately. Until then, users should carefully consider what personal data they provide to Facebook through our pages.
We expressly draw your attention to the fact that, in accordance with its data usage guidelines, Facebook stores its users’ data (e.g. personal information, IP addresses, etc.) and uses it for business purposes. EFW e.V. has no influence over the collection of data or its subsequent use by Facebook. We are unaware of the extent to which, where, and for how long the data is stored; whether Facebook complies with existing deletion obligations; what evaluations and links are made with the data; and to whom the data is passed on.
9. Privacy policy regarding the use of Instagram
EFW e.V. uses Instagram’s technical platform (operated by Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland) to provide an Instagram profile.
Each time an individual page of this website operated by the controller and featuring an Instagram component (Insta button) is accessed, the internet browser on the data subject’s information technology system is automatically prompted by the respective Instagram component to download a representation of the corresponding component from Instagram. As part of this technical process, Instagram receives information about which specific subpage of our website the data subject is visiting.
If the data subject is logged into Instagram at the same time, Instagram recognises which subpage of our website the data subject visits each time they access it and for the entire duration of their visit. This information is collected by the Instagram component and assigned to the data subject’s respective Instagram account. If the data subject clicks on one of the Instagram buttons integrated into our website, the transmitted data and information will be assigned to their personal Instagram user account and stored and processed by Instagram.
Instagram receives information via the Instagram component that the data subject has visited our website whenever the data subject is logged into Instagram at the same time as visiting our website; this occurs regardless of whether the data subject clicks on the Instagram component or not. To prevent this transmission, the data subject can log out of their Instagram account before visiting our website.

10. Privacy policy regarding the use of Vimeo
Videos on our website are embedded via the video portal Vimeo, LLC, 555 West 18th Street, New York, New York 10011, USA. If you have agreed to the display of videos on this page, a direct connection between your browser and a server of the streaming service will be established each time you visit a page that offers video clips. Information about your visit, including your IP address, will be stored there.
Vimeo uses Google Analytics. This is a tracking service provided by Vimeo, over which EFW e.V. has no control. You can prevent Google Analytics from tracking you by using the deactivation tools offered by Google for certain internet browsers.
